Acceptance of Terms
These Terms constitute a legally binding agreement between you ("User") and AEC pms ("we," "our," or "us") governing your access to and use of the AEC pms mobile application. These Terms apply to all users regardless of role — Contractor, Engineer, Area Manager, Client PM, or Administrator. By downloading or using AEC pms, you agree to be bound by these Terms and Conditions. Please read them carefully before using the application.
Description of the Application
AEC pms is an enterprise construction project management platform. The application provides:
- Form and workflow management for construction projects
- GPS-based attendance check-in and check-out
- Real-time team messaging and group collaboration
- Snag and quality defect tracking with timeline reporting
- Timesheet and contract management
- Dashboard analytics and project progress monitoring
- Engineering community hub for professional networking
User Accounts & Credentials
By creating or using an account, you agree to: provide accurate and complete registration information; keep your login credentials strictly confidential; not share your account with any other person or entity; notify us immediately upon discovering any unauthorised account access; and accept full responsibility for all activities under your account.
Acceptable Use Policy
You agree to use the App solely for its intended professional purposes. The following are strictly prohibited:
- Using the App for any unlawful purpose or in violation of applicable regulations
- Attempting unauthorised access to systems, data, or other accounts
- Posting defamatory, harassing, or rights-infringing content
- Manipulating attendance data, GPS coordinates, or project records
- Reverse engineering, decompiling, or disassembling the App
- Introducing malware or any harmful code into the system
- Scraping or harvesting data without express written consent
Intellectual Property
All intellectual property rights in the App — including source code, interface design, logos, trademarks, and content — are the exclusive property of AEC pms. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the App solely for your professional role within your organisation. This licence does not permit sublicensing, resale, or commercial exploitation of any kind.
Privacy
Your use of the App is governed by our Privacy Policy set out in Part II of this document. By accepting these Terms, you also consent to the data practices described therein.
Disclaimer & Limitation of Liability
The App is provided on an "as is" and "as available" basis without warranties of any kind. To the maximum extent permitted by law, AEC pms shall not be liable for indirect, incidental, or consequential damages including loss of data, revenue, or business opportunity arising from use of or inability to use the App.
Termination & Suspension
We reserve the right to suspend or terminate your account without prior notice if you violate these Terms, engage in fraudulent behaviour, or cease to have an active relationship with an AEC pms client organisation. Upon termination, your right to use the App ends immediately.
Modifications to Terms
We may update these Terms from time to time. Material changes will be communicated via in-app notification at least 7 days before taking effect. Continued use of the App after changes constitutes acceptance of the revised Terms.
Governing Law
These Terms shall be governed by applicable local laws and regulations. Any dispute arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the competent local courts.

Information We Collect
Account & Identity Data: Full name, email address, and phone number; Job title and organisational role; Profile photo (optional); Authentication tokens (encrypted at rest).
Location Data (GPS): Precise GPS coordinates collected exclusively during attendance check-in and check-out; Location is never tracked in the background or outside of attendance actions; Location access requires explicit permission granted by you on your device.
Project & Workflow Data: Forms, documents, photos, and attachments uploaded within projects; Workflow actions — approvals, rejections, and comments; Snag reports and quality inspection records.
Communication Data: Messages and media shared in team chats and group channels; Push notification tokens for delivering in-app alerts.
Usage & Technical Data: Session timestamps and feature interaction logs; Device type, OS version, and app version; Crash reports and anonymised error diagnostics.
How We Use Your Information
We use collected data to: deliver core App functionality — attendance, forms, workflows, and project management; send push notifications for task assignments, approvals, and messages; analyse usage patterns to improve App performance and experience; detect and prevent fraudulent or unauthorised activity; respond to support requests and resolve technical issues; comply with applicable legal and contractual obligations.
Data Sharing & Third Parties
We do not sell, rent, or trade your personal data. Data is shared only in the following limited cases:
Service Providers: Firebase (Google) — push notification delivery and authentication; Cloud infrastructure provider — encrypted hosting and API services; MQTT broker — real-time messaging relay (no personal data logged).
Your Organisation: Project-related data is visible to authorised members of your organisation according to role-based access controls set by your administrator.
Legal Requirements: We may disclose data when required by law, court order, or to protect the rights, property, or safety of AEC pms, its users, or the public.
Security
We apply industry-standard security controls to protect your data:
- All data in transit is encrypted using TLS 1.2+
- Data at rest is encrypted using AES-256
- Access is controlled by role-based permissions (RBAC)
- Authentication uses short-lived, scoped tokens — no plain passwords are stored
- Continuous infrastructure monitoring and anomaly detection
App Permissions
AEC pms may request the following device permissions:
You may manage or revoke any permission at any time through your device settings. Revoking a permission may limit certain App features.
Data Retention
- Account data is retained for the duration of your active account and deleted within 30 days of a verified deletion request
- Project and workflow data is retained as required by contractual obligations with client organisations
- Attendance records are retained per applicable labour law in your jurisdiction
- Anonymised analytics are retained for up to 24 months
Your Rights
Subject to applicable law, you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — request correction of inaccurate or incomplete data
- Erasure — request deletion of your personal data
- Restriction — request that we limit processing of your data
- Portability — receive your data in a structured, machine-readable format
- Objection — object to processing based on legitimate interests

Children's Privacy
AEC pms is designed exclusively for working professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If we become aware that a minor has provided personal data, we will delete it promptly.
Third-Party Services
The App integrates with the following third-party platforms, each governed by their own privacy policies: Google Firebase (FCM, Authentication) and MQTT Messaging Broker — data encrypted in transit; no personal data logged at broker level.
Policy Updates
We may update this Privacy Policy to reflect changes in our practices or legal requirements. We will notify you of material changes via in-app notification or email no less than 7 days before the revised Policy takes effect.
